As an Executive Assistant or Secretary, there are some software and online programs that are vital. Sure, you can use a pencil, paper, typewriter, and rolodex, but who wants to do everything the hard way. Over the years I’ve gathered up a bundle of software and online programs that have made my job easier.
Google – We can all agree the world is a much better place since Google was created. I remember when way back in the day when you had to be invited to create a Gmail email. I was so excited the day when I received the invitation. Since that day google has helped me work smarter, not harder.
Gmail has an extremely easy system of setting up folders, hang out, sharing documents, attaching documents, setting up calendars, sharing calendars, their version of office, CRMs, and have a plethora of add-ons.
TeamViewer – I often have to travel, but I need to log into my office network. TeamViewer allows you to log into your business network. They have a free version and a paid version. And, the fabulous feature I love is that you can have security protocols and automatic log-ins.
Constant Contact – I am often required to create and send an email to 800 people. Constant Contact is a great management system that allows you to create templates, upload your logos, emails, analytics, and integrates with your social media platforms. They also include payments, shopping carts and creates landing pages and websites. Now, I use Convertkit for my business, but my company uses Constant Contact. com and Contact offer several pricing levels of membership.
Canva – You will often need to create graphics, presentations, logos, and campaigns for your work. Canva is a great website to help you. It’s easy to use and will save you a lot of heartache and time. Now, I will give a disclaimer and say that even though I use Canva many times, we have a professional graphics company that performs heavy lifting jobs. When it comes to major events and we need major mailouts, graphics, schedules, branding, etc. I turn to professionals because they perform beyond my scope of professionalism and work. My motto has always been never being to be so proud to ask for help. The most educated person needs help. Canva offers a free and paid version.
